Systema AI LLC ("Systema AI," "we," "us," "our") respects your privacy. This Privacy Policy explains what we collect, how we use it, who we share it with, and the choices you have. By using systemaai.co, our landing pages, or our services, you agree to the practices described here.
1. Information we collect
We collect information you provide to us and information generated automatically when you interact with us.
Information you provide:
- Name, email, phone number, business name, business address, role, and website URL submitted through our forms or during consultations.
- Project details: trade (HVAC, roofing, bath remodel, etc.), service area, monthly lead volume, current ad spend, current tools.
- Billing and payment information processed by our payment provider (we do not store full card numbers).
- Any content you send us through email, SMS, scheduled calls, or recorded consultations.
Information collected automatically:
- IP address, browser type, device type, and pages viewed.
- Cookies, pixels, and analytics tags (Google Analytics, Meta Pixel, and similar) for traffic measurement, retargeting, and conversion tracking.
- UTM parameters and referrer data so we know which campaigns and content drive responses.
2. How we use your information
- Deliver our services (audits, onboarding, ad campaign management, AI SMS lead qualifier, appointment booking).
- Respond to your inquiries and schedule consultations.
- Send transactional notices (booking confirmations, billing receipts, onboarding steps).
- Send marketing communications you've consented to (email, SMS — see Section 4).
- Improve our website, sales process, and service quality.
- Comply with legal obligations and enforce our agreements.
3. How we share your information
We share information only with the following categories of recipients:
- Service providers acting on our behalf: hosting (Vercel/Cloudflare), CRM and SMS platform (GoHighLevel and underlying carrier providers), email (Google Workspace, Instantly), analytics (Google, Meta), payment processing, calendar booking, and AI infrastructure.
- Clients — only when you've explicitly engaged us as your agency and we're operating under your account.
- Legal recipients — when required by law, subpoena, regulatory request, or to protect rights, property, or safety.
We do not sell your personal information. We do not share your information with third parties for their own marketing purposes.
4. SMS data handling (mobile information)
This section governs phone numbers and SMS data specifically.
No resale or third-party sharing. Mobile phone numbers and SMS opt-in data are never sold, rented, or shared with third parties or affiliates for their marketing or promotional purposes. This restriction applies to all categories of personal information, but is called out here because mobile carriers and TCR require explicit confirmation.
- Limited service-provider access. Phone numbers and message content are processed only by service providers required to deliver the SMS program (e.g., GoHighLevel and the underlying SMS carrier infrastructure), and only for that purpose.
- Opt-in required. We send SMS only after you've opted in via a Systema AI form, a direct reply, or a booked consultation. Consent is not a condition of purchase.
- Opt-out always available. Reply STOP to any Systema AI message to opt out. Reply HELP for assistance.
- Retention. Phone numbers and SMS history are retained for the duration of your engagement plus a reasonable period afterward to handle disputes, billing, and legal compliance, then deleted or anonymized.

5. Cookies and tracking
We use cookies and similar technologies for site functionality, analytics, and advertising attribution. You can control cookies through your browser settings or our cookie banner where applicable. Disabling cookies may limit some site functionality.
6. Data retention
We retain personal information for as long as needed to provide our services, comply with legal obligations, resolve disputes, and enforce agreements. When information is no longer needed, we delete or anonymize it.
7. Your choices and rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Delete your information (subject to legal exceptions).
- Opt out of marketing emails (use the unsubscribe link in any email) or SMS (reply STOP).
- Opt out of the sale or sharing of personal information — Systema AI does not sell or share personal information for cross-context behavioral advertising as defined under CCPA/CPRA.

8. Security
We use industry-standard administrative, technical, and physical safeguards to protect personal information. No system is 100% secure; we cannot guarantee absolute security but we work to minimize risk.
9. Children
Our services are not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
10. International users
Our services are operated from the United States. If you access them from outside the U.S., your information will be transferred to and processed in the U.S.
11. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date reflects the most recent revision. Material changes will be communicated via email, SMS, or a prominent notice on our site before they take effect.
